1. You’re still reviewing CVs a week after they were submitted

In a candidate-short market, a seven-day CV review window is too long. Strong candidates are often in multiple processes simultaneously, and a late response (even a positive one) can mean you’re already playing catch-up.

2. Your process has three or more interview stages for roles that don’t require it

Multiple interview stages can make sense for senior or highly specialised roles. For most positions, they simply extend the timeline without meaningfully improving the decision.

Ask yourself honestly: what does each stage answer that the previous one didn’t?

3. You require senior sign-off at every stage

When every decision needs to go to a director or MD (regardless of role level) it creates delays that are entirely within your control to reduce. Empowering hiring managers to make decisions for roles within their remit speeds things up without sacrificing quality.

4. Candidates are going silent mid-process

If you’re regularly finding that candidates stop responding after an initial interview, this is worth investigating. It may indicate that the timeline between stages is too long, the process feels unclear, or that the candidate’s experience of the interview itself raised concerns. Silence is feedback!

5. Your offer is consistently being turned down at the final stage

Repeated offer rejections usually point to one of two things: salary or process. If candidates are declining after reaching offer stage, have an honest conversation with your recruitment partner about whether the package is competitive and whether the process itself put them off.

This is the clearest signal of a time-to-hire problem. If candidates are accepting offers from businesses they approached later in their search, your competitors are simply moving faster than you. That’s a process issue, not a talent issue.
